Full Job Description

We are seeking a proactive and detail-oriented Business Administrative Assistant to join our team. This role involves substantial manual data entry, clear communication with both internal team members and external partners, and the ability to manage multiple tasks with accuracy and accountability. You’ll be engaging frequently with U.S. government agencies via phone, coordinating with software vendors via email, and updating team members on project progress.

The ideal candidate is comfortable with technology, especially Google Sheets, and embraces the use of AI tools such as ChatGPT and Claude. You’ll also assist with uploading video recordings and other administrative support tasks as needed. We offer training to help you get up to speed and succeed in your role.


Job Responsibilities

Key Responsibilities:

  • Perform accurate and efficient manual data entry
  • Follow up diligently on assigned tasks and report progress to managers
  • Communicate clearly in English by phone with U.S. government agencies
  • Contact software vendors and partners professionally via email
  • Maintain and update databases and spreadsheets in Google Sheets
  • Participate in team meetings via Zoom, Slack, or other communication tools
  • Use AI tools (e.g., ChatGPT, Claude) to support workflow and productivity
  • Assist with uploading and organizing video recordings and other digital materials
  • Take initiative and proactively identify ways to improve processes
  • Support other administrative and operational tasks as needed


Job Requirements

  • Strong English communication skills (verbal and written)
  • Experience with Google Sheets, Slack, Zoom, Loom, and general online tools
  • Comfortable using AI platforms like ChatGPT or Claude
  • Reliable computer and high-speed internet connection
  • Willingness to learn and adapt quickly to new tools and processes
  • Availability to work Eastern Time Zone hours (9:00 AM – 5:00 PM ET, Monday to Friday)
  • Strong attention to detail and ability to handle large data sets
  • Proactive work ethic and ability to work independently
  • Experience creating KPI dashboards is a plus
