About the Opportunity

Pathfinder Hospitality is hiring on behalf of Aloft Austin Southwest for a remote, back-of-house role supporting day-to-day room booking coordination and administrative sales support.

This position exists to keep guest and group booking activity organized, accurate, and easy for the on-property team to execute—without pulling guest-facing staff away from the front desk.

Work Schedule

  • Time zone: Central Standard Time (CST)
  • Hours: 35 hours/week
  • Core overlap: 4–6 hours/day within CST business hours (example: 9:00 AM–3:00 PM CST)

Role Summary

This role has two pillars:

  1. Room Booking Support (Accuracy + Speed)
  2. Administrative Support (Organization + Follow-through)

You’ll work closely with the on-property sales/operations leader to keep booking-related tasks moving, documents clean, and follow-ups on track.


Job Responsibilities

Pillar 1: Room Booking Support

  • Support the booking workflow by preparing, updating, and organizing booking-related documents (summaries, confirmations, revisions, and supporting materials).
  • Track booking requests and changes, ensuring details are accurate (dates, room types, pickup/rooming details if applicable, contacts, notes).
  • Maintain clear status tracking: what’s pending, what’s confirmed, what needs review, and what’s due next.
  • Coordinate internally to confirm details and prevent errors before information is finalized or sent.

Pillar 2: Administrative Sales Support

  • Maintain structured trackers and shared folders so information is easy to find and consistently up to date.
  • Manage follow-up reminders and deadlines so tasks don’t stall.
  • Support scheduling and internal coordination (calendar support, meeting notes, task lists as needed).
  • Provide general administrative support tied to booking activity and sales operations.


Job Requirements

Success Is Likely If You…

  • Have 1+ years experience in reservations support, sales support, operations coordination, or executive assistance.
  • Are highly organized and detail-oriented (you spot missing info and inconsistencies quickly).
  • Communicate clearly and professionally in writing (email clarity matters).
  • Can manage multiple tasks and deadlines without constant supervision.
  • Are comfortable with spreadsheets and trackers (basic formulas, clean tables, status reporting).
  • Learn new systems quickly and follow established workflows with consistency.

Preferred

  • Familiarity with hotel booking/sales terminology (room blocks, pickup, rooming lists, group support)
  • Experience supporting a U.S.-based team in CST overlap
  • Spanish/English bilingual is a plus, not required
