Full Job Description

We are currently hiring a Spanish-speaking Medical Scheduler to support busy U.S.-based clinics with patient scheduling, appointment coordination, reminders, inbound/outbound calls, and administrative support.This is not a passive role.We are looking for someone who is:

Responsibilities

  • Schedule and confirm patient appointments
  • Handle inbound and outbound patient calls
  • Communicate professionally in both English and Spanish
  • Provide appointment reminders and follow-up calls
  • Reschedule missed or canceled appointments
  • Verify basic patient information
  • Document notes accurately inside the EMR
  • Coordinate with clinic staff regarding scheduling needs
  • Maintain professionalism and empathy during patient interactions

Qualifications

  • Fluent or highly conversational in Spanish and English
  • Previous experience in medical scheduling, call center, or healthcare support required
  • Experience with Microsoft Excel
  • Strong communication and phone presence
  • Comfortable handling high call volumes
  • Strong attention to detail
  • Reliable internet and quiet work environment
  • Ability to work independently and stay organized
  • Experience with EMRs, Google Workspace, or healthcare systems is a plus

Compensation

Competitive compensation range from $1,000 - $1,500/month based on experience and communication ability.

This opportunity also includes:

  • 5 paid PTO days per year

Job Responsibilities

  • Schedule and confirm patient appointments by coordinating available time slots, confirming visit details, and ensuring patients understand the date, time, location, and any basic appointment instructions.
  • Handle inbound and outbound patient calls in a professional, warm, and efficient manner while managing a high volume of daily calls.
  • Communicate professionally in both English and Spanish with patients, clinic staff, and internal team members, ensuring information is clear, accurate, and respectful.
  • Provide appointment reminders and follow-up calls to reduce no-shows, confirm patient attendance, and help clinics maintain a smooth daily schedule.
  • Reschedule missed or canceled appointments quickly and accurately while helping patients find the next available option that works for both the patient and the clinic.
  • Verify basic patient information including name, date of birth, contact information, insurance details, appointment reason, and other required scheduling information.
  • Document notes accurately inside the EMR so clinic staff can clearly understand the patient’s status, scheduling needs, and any relevant updates.
  • Coordinate with clinic staff regarding scheduling needs including urgent requests, provider availability, patient questions, schedule changes, and any issues that need escalation.
  • Maintain professionalism during patient interactions, especially when speaking with frustrated, confused, elderly, or anxious patients.


Job Requirements

  • Fluent or highly conversational in Spanish and English, with the ability to speak clearly and professionally with patients and clinic staff in both languages.
  • Previous experience in medical scheduling, healthcare support, or call center operations preferred, especially in roles involving patient communication, appointment setting, insurance verification, intake, or front desk support.
  • Strong communication and phone skills, including a warm tone, clear pronunciation, active listening, and the ability to explain information patiently.
  • Comfortable handling high call volumes while staying calm, organized, and accurate throughout the day.
  • Strong organizational skills and attention to detail, especially when entering patient information, confirming appointment details, and documenting notes.
  • Experience with Microsoft Excel preferred, including basic spreadsheet use, email, shared documents, and calendar coordination.
  • Experience with EMRs or healthcare systems is a plus, especially if you have worked with patient charts, scheduling platforms, or medical office software.
  • Reliable internet connection and quiet work environment suitable for professional patient calls and remote clinic support.
  • Ability to work independently and remain accountable without micromanagement, including following instructions, asking clear questions, managing tasks, and communicating when issues come up.
