Rehabmart is seeking a highly organized, self-motivated Vendor Relations Operations Specialist to support the Vendor Relations team through the coordination of departmental initiatives, operational processes, and cross-functional projects. Working under the direction of Vendor Relations Leadership, this individual will serve as a central point of coordination by organizing project details, monitoring timelines, maintaining documentation, and helping established initiatives continue moving forward. The ideal candidate is naturally organized, thrives in a fast-paced environment, and enjoys creating structure from complexity. They are proactive, detail-oriented, and capable of independently coordinating multiple assigned priorities while collaborating effectively across departments.


Job Responsibilities

  • Coordinate assigned Vendor Relations projects by tracking timelines, milestones, action items, deliverables, and potential roadblocks.
  • Support assembly initiatives by maintaining reporting and KPIs, coordinating product-page setup and accuracy, and assisting with workflow between Vendor Relations, Order Processing, and Quotes.
  • Support private-label initiatives through UPC registration, logo and packaging coordination, trademark tasks, shipping, warehousing, manufacturer follow-up, and initial inventory setup.
  • Assist with Amazon, Health Revival,  and marketplace projects by coordinating branding needs, verifying product content is ready for upload, reviewing existing product pages, monitoring shipping options, and compiling ROI data.
  • Coordinate GSA product additions by obtaining Letters of Supply and working with Pricing and other teams on pricing, product modifications, and implementation.
  • Research and recommend potential GSA product additions for Leadership review, supporting the department’s annual product-growth goals.
  • Maintain vendor dashboards, project records, contact information, and internal documentation to ensure information remains accurate and current.
  • Prepare project updates, KPI tracking, performance measurements, and ROI summaries for Leadership review.
  • Document workflows and standard operating procedures, and recommend practical improvements when recurring process or communication issues are identified.
  • Communicate approved vendor, product, and process updates to affected teams and provide additional operational support as assigned.


Job Requirements

  • Ability to organize projects with multiple moving parts, identify missing information, and determine practical next steps.
  • Strong critical-thinking skills with the ability to connect details across vendors, products, pricing, inventory, and internal teams.
  • Experience tracking timelines, dependencies, and follow-up items through project completion.
  • Ability to recognize incomplete or inconsistent information and communicate when support or escalation is needed.
  • Comfortable using spreadsheets, project trackers, databases, or similar tools to organize work and report progress.
  • Clear written communication skills for documenting processes, summarizing project status, and sharing updates across teams.
  • Reliable follow-through and an interest in completing projects accurately and closing outstanding items.
  • Experience in vendor relations, e-commerce, operations, supply chain, product coordination, or project support.
  • Familiarity with Amazon, Shopify, GSA, private-label, inventory, or marketplace workflows.
  • Experience supporting product launches, packaging, pricing updates, dashboards, or process documentation.
