What We’re Looking For:
We seek a highly organized and proactive Virtual Assistant (VA) to support our founder in managing daily functions, providing accountability, and handling essential communications. This role is critical in organizing our work, maintaining client relations, and setting up CRM automation tools to streamline client communication and engagement. You will manage client interactions, gather project changes, and ensure smooth execution, allowing our founder to focus on strategic, marketing, and branding tasks.
Your role will also involve refining processes for contract signatures, client onboarding, and project completion. As the business grows, you will assist in identifying talent for contract work on larger projects.
• Organization & Accountability: Manage daily tasks, maintain accountability for ongoing work, and ensure the smooth operation of administrative functions.
• Client Relations: Handle day-to-day communications with clients, manage client meetings, and gather feedback and changes during projects for execution.
• CRM & Process Management: Assist in setting up and maintaining CRM automation tools to facilitate client communication and engagement. Help develop and refine processes related to contract signatures, client onboarding, and project completion.
• Cold Calling & Scheduling: Conduct outreach to potential clients, schedule meetings, and contribute to expanding the client base.
• Minor Design Work: Assist with basic design tasks as needed, contributing to project execution and client engagement efforts.
• Initiative & Process Improvement: Take ownership of assigned tasks, follow through to completion, and assist in creating new processes to improve workflow and efficiency.
• Communication: Proactively ask questions to understand tasks fully and avoid errors. While pushback is acceptable, once decisions are made, execution should follow promptly.
• Experience: Previous experience as a virtual assistant, especially in roles involving client relations and CRM management, is preferred.
• Skills: Strong organizational skills, excellent communication abilities, proficiency in task and CRM management software, and a basic understanding of design tools.
• Characteristics: Self-motivated, detail-oriented, proactive, and capable of working independently while maintaining open communication with our team.
• Work Ethic: A strong sense of responsibility, a willingness to adhere to established processes, and a proactive approach to improving efficiency.
The Interview Process:
Candidates will undergo an initial interview, followed by a skills test, and a final interview. We aim to make a hire by the end of the month but are open to adjusting timelines for exceptional candidates. Compensation is competitive and negotiable based on experience and qualifications.
