Virtual Bilingual Patient Coordinator / Sales Virtual Assistant (Remote)

Mederna Aesthetic & Wellness is a leading medical aesthetics practice dedicated to providing exceptional patient care, advanced non-surgical treatments, and outstanding customer service. We are looking for a highly motivated, bilingual Virtual Patient Coordinator with strong sales skills to help convert leads into consultations and provide an outstanding patient experience.

Key Responsibilities

• Respond promptly to new patient inquiries via phone, text, email, social media, and CRM.
• Follow up with prospective patients and convert leads into scheduled consultations.
• Educate patients about treatments, pricing, financing options, and promotions.
• Maintain accurate documentation in the CRM and patient management systems.
• Confirm appointments and reduce cancellations and no-shows.
• Coordinate patient schedules with providers and the clinical team.
• Perform outbound follow-up calls to unscheduled leads and existing patients.
• Assist with patient retention, memberships, and promotional campaigns.
• Handle administrative tasks and support daily clinic operations remotely.
• Meet individual and team sales and scheduling goals.
• Provide exceptional customer service while maintaining patient confidentiality.

Required Qualifications

• Fluent in English and Spanish (spoken and written).
• Minimum 2 years of sales experience (required).
• Excellent communication, persuasion, and customer service skills.
• Experience using CRM systems and managing patient or customer communications.
• Strong organizational skills and attention to detail.
• Ability to multitask in a fast-paced environment.
• Reliable high-speed internet, computer, headset, and quiet home office.
• Professional appearance and attitude during video meetings.

Preferred Qualifications

• Experience working in healthcare, medical offices, or wellness practices.
• Previous experience as a Virtual Assistant for a U.S. Med Spa, Plastic Surgery, Dermatology, or Cosmetic Practice is highly preferred.
• Experience with lead conversion, patient coordination, appointment scheduling, and treatment plan presentations.
• Familiarity with aesthetics or cosmetic procedures is a plus.
