Position Summary:

The Virtual Front Desk Coordinator will be responsible for managing front desk operations remotely across our seven physical therapy locations. This role involves a range of administrative tasks, including answering phones, scheduling patient appointments, and ensuring a seamless check-in process for patients attending appointments at our various locations.

Job Responsibilities

Phone Management:

  • Answer incoming calls promptly and professionally.
  • Provide information about services, answer inquiries, and direct calls to the appropriate departments or individuals.

Appointment Scheduling:

  • Contact patients to schedule and confirm appointments, ensuring efficient coordination with the respective physical therapy locations.
  • Utilize scheduling software to manage appointments and update patient records.

Patient Check-In:

  • Facilitate a smooth and welcoming check-in process for patients attending appointments.
  • Verify patient information and update records as needed.

Communication and Coordination:

  • Collaborate with on-site front desk staff and clinical teams to ensure accurate and up-to-date information.
  • Communicate any changes in schedule or appointments to relevant parties.

Customer Service:

  • Provide excellent customer service by addressing patient inquiries, resolving issues, and ensuring a positive experience for all patients.

Administrative Support:

  • Assist with general administrative tasks, such as data entry, filing, and maintaining patient records.
  • Support other virtual and on-site team as needed.


Job Requirements

Qualifications:

  • Previous experience in health care, customer service or administrative role.
  • Excellent communication and interpersonal skills.
  • Strong organizational and multitasking abilities.
  • Familiarity with scheduling software and basic office applications.
  • Ability to work independently and remotely.

Preferred Qualifications:

  • Experience in a healthcare or physical therapy setting.
  • Knowledge of medical terminology.
  • Familiarity with electronic health records (EHR) systems.

Working Conditions:

This position is remote, and the candidate must have a reliable internet connection, must have 2 monitors with windows (no Apple products). Regular communication with on-site staff and periodic team meetings may be required.
