Full Job Description

We're seeking a highly organized and motivated Virtual Office/ Sales Assistant to support our luxury travel agency. The Assistant will report to the Owner and will support the entire agency in assorted ways as a valued member of the team. In person training will be required initially.

The Virtual Assistant is responsible for supporting our agency at key moments in the sales process, ensuring that each client has an excellent experience. The right candidate is a motivated self-starter who can professionally interact with high-end, luxury clients. This person should be confident using technology to research and solve problems, have experience providing excellent customer service, and exercise good judgement in prioritizing and completing tasks. Finally, this person needs to be detail-oriented, organized, and meticulous in their work.

Key Responsibilities:

  • Data Entry of client details into database
  • Client-facing communication about itinerary details

·       Navigate multiple software platforms to locate or add travel information

  • Organize and prioritize task, information for group travel and complex itineraries
  • Import data using various tools and techniques, ensuring seamless integration into our sales system.
  • Assist with ongoing database maintenance, leveraging tools like Excel for efficient cleanup and organization.
  • Collaborate with our Marketing team to effectively process return mail.
  • Generate detailed reports from Salesforce, our customer relationship management (CRM) platform, as requested by management.
  • Handle registration and logistical planning for conferences and events, maintaining an up-to-date calendar for owner.
  • Maintain comprehensive records of our valuable marketing partnerships.
  • Oversee the ordering and distribution of essential marketing materials.
  • Create simple graphics for in-office announcements, social media posts, and other internal needs.
  • Capture photographs at company-wide events for internal and promotional use.
  • Become proficient with Canvas, Adobe Premiere Pro to edit training and promotional videos.
  • Assist with the development and maintenance of reports and dashboards for our sales team.

Requirements

·       · Must have own computer and cell phone

·       · Previous experience in Customer Service or Retention roles

·       · Experience using Constant Contact, Canva, PDF, Microsoft Office (Excel, Word, PowerPoint), Google Sheets, Airline Websites, cruise line, other travel websites, video editing, social media platforms and ability to learn new software platforms.

Qualifications:

  • Minimum [2] years of professional office experience.
  • Proficient in Microsoft Office Suite, including Excel.
  • Constant Contact
  • Canvas 
  • Demonstrated organizational skills and exceptional attention to detail.
  • Ability to multitask and manage multiple projects simultaneously in a deadline-driven environment.
  • Good communication and interpersonal skills.
  • Experience in project management is a plus.

Desired Skills:

  • Basic understanding of marketing principles.
  • Experience with Salesforce or other CRM systems is beneficial.
  • Strong Excel skills beneficial.
  • Flexible hours- Travel never sleeps!
  • Team player, willing to take on new challenges.
  • Proficient in social networking.
  • Bachelor’s degree or equivalent experience
