Full Job Description

What You'll Do:

Bookkeeping (QuickBooks Online) — ~5–10 hrs/week

    • Maintain and clean up our chart of accounts
    • Reconcile bank, credit card, and merchant accounts monthly
    • Code incoming payments and accounts payable activity accurately
    • Issue customer invoices and keep AR current
    • Follow up on overdue invoices in writing — professional, polite, persistent collections
    • Flag anomalies, duplicates, or coding questions before they become problems
    • Support month-end close and keep the books tax-ready

Amazon Advantage + Inventory Admin — ~10–12 hrs/week

    • Manage our Amazon Advantage account spanning 200+ authors / titles
    • Review, accept, or reject Amazon POs for restocks (some POs are time-sensitive and must be handled on the morning of a US business day, typically Mondays)
    • Coordinate inventory pulls from our staging warehouse for Amazon shipments
    • Maintain inventory spreadsheets — updated on roughly an every-other-day cadence
    • Keep clean records of what's been shipped, what's pending, and what's running low

Job Requirements

Required

    • Near-expert level in QuickBooks Online — you can navigate it confidently without hand-holding and familiar with US Accounting Rules and Regulations
    • Minimum 5 years of bookkeeping experience for other USA based small businesses (
    • Excellent written English — you'll be writing customer-facing collection emails and internal notes, and they need to read like a native or near-native English speaker wrote them
    • Strong attention to detail and a habit of double-checking your own work
    • Reliable internet, quiet work environment, and the discipline to work independently
    • Comfortable with spreadsheets (Google Sheets / Excel) for inventory tracking

Preferred Skills

    • Prior experience with Amazon Advantage, Amazon Vendor Central, or similar B2B platforms
    • Experience managing inventory across a staging or 3PL warehouse
    • Experience writing collection emails for unpaid invoices 
    • Experience working with US-based small businesses

Nice to Have

    • Background in publishing, print, or product-based small business accounting
    • Familiarity with sales tax, 1099s, or US bookkeeping conventions
