The firm is a private equity investment firm with presence in the US and Canada, with over $500 million of assets under management.

Job Summary:

The Remote Assistant will provide comprehensive administrative support to our investment team, ensuring smooth operations and effective communication. The ideal candidate will be highly organized, possess excellent communication skills, and have the ability to manage multiple tasks simultaneously. This role is critical in maintaining the efficiency of our daily operations and enhancing the productivity of our team.

Job Responsibilities

Key Responsibilities:

  • Administrative Support
  • Manage and organize schedules and meetings for team
  • Prepare and edit emails, communications, presentations, and other documents
  • Handle incoming calls and emails, directing inquiries to the appropriate team member
  • Note take during internal and external meetings

  • Client Relations
  • Assist in managing client relationships by maintain updated contact information and client records (CRM)
  • Prepare materials for client meetings
  • Respond to client inquiries

  • Data Management
  • Maintain and update investment opportunities and interactions into CRM
  • Ensure confidentiality and security of all company and client information

  • Research and Analysis
  • Conduct research on market trends, investment opportunities, and industry developments
  • Conduct research on potential clients/partners and draft outbound marketing emails

  • General Office Support
  • Work with Finance Manager to record expenses for various entities
  • Assist Finance Manager in tax filings, processing invoices, and payroll
  • Booking travel for executives
  • Manage and order office supplies/equipment as needed
  • Assist in ad hoc projects and presentations
  • Perform other administrative tasks as required to support the team


Job Requirements

Qualifications:

  • Proficient in English (written and verbal) [minimum C1 level]
  • Bachelor’s degree or equivalent experience is preferred
  • Excellent written and verbal communication skills
  • Strong organizational and time management skills
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace
  • Ability to work independently and collaboratively in a remote environment
  • Experience in managing multiple priorities, administrative coordination, and logistics
  • Experience in the financial services industry is an asset
  • Fully remote set-up
